Message Recall - THINK BEFORE clicking SEND!
Unfortunately, there is no "Recall" option when sending messages to the listserv. Once you've click "SEND" there's no turning back!

Message Replies - THINK AGAIN BEFORE clicking SEND!
By default, clicking the REPLY button will distribute your reply to ALL list members. THINK BEFORE clicking SEND, please make sure the "To:" field only contains the e-mail address(s) of the intended recipients. If you are sending a private message to an individual, make sure you have his/her address in the "To:" field, not the list address.

Please note that all posting are transmitted over the Internet and as such, are not secure. Please do not include any confidential information in your messages!

Post a Message
To post a message to a discussion list, simply send an e-mail to the discussion list's e-mail address.

If for example, you wanted to send a message to a discussion list named "health", you would send your message to:

health@lists.dfmc.org

Post a Message to Multiple Lists
Simply send a "single" e-mail addressed to your target lists. For example, if you wish to send a single message to health_1 and health_2 discussion lists, your To: field should be addressed as follows:

To: health_1@lists.dfmc.org; health_2@lists.dfmc.org

There are two key benefits in sending your message this way: 1) you only have to send one message, and 2) members that happen to belong to more than one list will only get one (1) copy of your message - this will make them very, very happy!

UN-subscribe
The best way to UN-subscribe from a list is to send a blank e-mail to the UN-subscribe address specified at the bottom of each e-mail you receive. This address is in the form of:

leave-listname-yourspecialnumber@lists.dfmc.org

The "special number" is a unique identification number that ensures you will be UN-subscribed.
Alternatively, you can leave out this unique ID number and send a blank e-mail to:

leave-listname@lists.dfmc.org

For example:

leave-health@lists.dfmc.org

Message Subject
The "Subject:" field is highly significant in that postings are archived and organized by "Subject". Also, proper etiquette dictates that you clean the "Subject:" field before clicking "SEND" - i.e., each reply is prefaced with "RE:" which sometimes leads to the following: Subject: RE: Re: RE: RE: Re: original subject

If you are changing the subject, it is important that you change the "Subject:" field to prompt the system to start a new thread.

Subject Field Content
Title new postings well, like you would a Web page. Some people won't bother to read postings (in lists or newsgroups) that don't announce their topic up front. Titles such as "Please help me!" and the like, are not preferred. Change the subject line when your response moves the thread away from the original topic.

Message Body
In the message body, include your contact information. Your e-mail address may not adequately identify either you or your organization.

Message Forwarding
It is not recommended that you forward mail to a list. Listservs tend to react unpredictably to embedded code which is generally included in forwarded mail.

Message Attachments
Only send attachments as a last resort. As a defense against potential virus contamination and for other reasons, it is not unusual for mail administrators to configured their systems to reject certain file types.

Should you find it necessary to send an attachment, it is recommended that you keep the file size(s) under 50 kilobytes - the default maximum size of allowed messages from non-admin members. Although our ListManager can be configured to distribute messages that are larger than the default maximum, some receiving mail servers may impose their own limits on the size of message that it will accept. As a rule of thumb, 5MB or less is acceptable.

Message Footers
Strip multiple footers and excessive quotes. Messages can gather substantial debris in just a few exchanges. Every reply gets another footer appended to it. After a few replies, you can have quite a collection of footers. Please delete all of them before sending.

Auto Responders
It is recommended that that you do NOT use an auto-respond function in your e-mail when you are a member of a list, or be sure to UN-subscribe from the list if you are activating an auto-response (e.g., I will be out of the office on...). Delmarva's ListManager is configured to filter all mail containing "out of the office" in the "Subject:" field as a measure to prevent auto-response loops. However, some mail system do not use the "out of the office" string in the "Subject:" field, hence, problems can occur.

Receive Mail Options
As a list member, you have the option of receiving messages as follows - these options are only available via the Web Interface. Feel free to contact the ListManager administrator for Web interface access instructions at: listmeister@dfmc.org or go here to access and change your mail preferences: http://delmarva.lyris.net/read/?forum=listname (replace "listname" with the appropriate listname).

  • Mail - receive mail as it is contributed - as soon as someone contributes a message to the mailing list, the user will receive a copy of that message. This option is commonly known by other programs as "mail".
  • Digest - periodic digest - each night, around 12:00 am, the user will receive a single email message containing all the messages contributed to the mailing list that day. At the top of the message will be a numbered list of the subjects in that digest, followed by the complete messages themselves. This option is commonly known by other programs as "digest". Attachments are received as "garbled text" in this mode. Attacments, however, can still be accessed via the list's Web interface.
  • MimeDigest - In MimeDigest mode, you still get a single mail once a day, but instead of being one huge message you get a message with an attachment for each post made. Note that some mailers (particularly AOL and some of the more primitive UNIX mailers) may have trouble with this option.
  • Index - periodic index of subject - each night, around 1 in the morning, the user will receive a single email message containing all the subject lines of all the messages contributed to the mailing list that day. If any of the messages interest the user, the bottom of the index gives the email command that will retrieve the bodies of the messages. Attachments are not received in this mode. Attacments, however, can still be accessed via the list's Web interface.
  • Nomail - receive no mail - no email is sent to the user. The user is free to go the web interface whenever they want, and read the full text of the messages there. This setting is also useful for people who want the ability to contribute to a mailing list, but do not care to see the contributions to the mailing list. This option is commonly known by other programs as "nomail".

Note: When receiving mail in the "Digest" mode, attachments are received as a long string of garbled text - a system quirk which I suspect is related to the fact that, in general, listservs are not designed to handle attachments very well. As an alternative, you may want to change from "Digest" to "Index" mode. When in "Index" mode, you will only receive the Subject lines of all postings for a given day in a single e-mail exclusive of any attachments.

  • Violating antitrust regulations, libeling, selling, and marketing are forbidden.
  • Please do not challenge or attack others. List discussions are meant to facilitate communication, not conflict.
  • Use caution when discussing products. Information posted on lists is considered public, and comments are subject to libel, slander, and antitrust laws.
  • All defamatory, abusive, profane, threatening, offensive, or illegal materials are strictly prohibited.
  • List participants reserve the right to reproduce the contents of any and all postings.
